How to Compare Childcare Costs and Fees

Two tuition quotes can look similar and still lead to different bills. Compare the same age group, schedule, and billing period, then separate recurring charges from upfront payments.

Start with comparable quotes

Ask each facility for tuition covering the care you need. A part-time preschool quote is not directly comparable to a full-day, year-round program. Keep the quote date and the age group or classroom beside the amount.

Write “unknown” when a fee has not been provided. Enter $0 only when the facility confirms there is no charge.

Convert weekly tuition carefully

For a rough monthly equivalent, multiply weekly tuition by 52 and divide by 12. Multiplying by four understates a full 52-week year.

Example: $300 per week × 52 ÷ 12 = $1,300 per month on average. This is not necessarily the amount of any individual invoice. Confirm billed weeks, holidays, absences, and the facility’s payment calendar.

Separate the types of charges

Charge What to ask
Tuition Which age group, schedule, billing period, and number of billed weeks?
Monthly charges Are meals, supplies, or regular activities separate?
One-time charges Are registration or enrollment charges refundable?
Annual charges How much is due, when, and will it recur during our enrollment?
Deposit Is it refundable or credited later? What conditions apply?
Conditional charges What might we pay for late pickup, schedule changes, or other situations?

A worked comparison example

This example uses invented prices to explain the calculation, not actual facility pricing:

The known monthly recurring equivalent is $1,320: $1,300 tuition plus $20 in other recurring charges. Including the annual fee spread across 12 months gives an average ongoing cost of $1,330.

For the first year, tuition is $15,600. Add $240 of monthly extras, $100 registration, and the $120 annual fee for $16,060, excluding the deposit. This assumes one registration charge and one annual fee.

A first-month cash estimate is $1,740 if the monthly equivalent, registration, annual fee, and deposit all fall due upfront. The actual first invoice may differ. A deposit affects cash needed now but may be returned or applied later; do not count it twice.

Keep uncertain costs visible

If a facility has not explained meals, registration, or annual charges, treat the comparison as a known subtotal. Do not call it an all-in price. Consider how closures, age-group transitions, discounts, or a shorter enrollment period could change your actual total, and ask the facility to confirm in writing.
